TRADER'S TERMS & CONDITIONS

  1. Immediate payment is required to guarantee the stall. You will be given a 48hour deadline to secure payment for your stall. If you miss this deadline your stall will be given to someone else.

  2. If you haven't hired a table, it is your responsibility to remember to bring your own on the day as you can not hire on the day. Tables are only available for those who have pre-book and purchased for the day of the event.

  3. Matcha Events bears no liability for loss, damage or theft of items during the event.

  4. Matcha Events has the right to cancel your stall at any time and for any reason.

  5. Matcha Events is not responsible for stallholder parking or parking fines

  6. Stallholders bear the responsibility for their own belongings and safety during our events. It is advisable to have public and product liability insurance to protect both your stall and inventory. The organiser's insurance policy does not extend coverage to stallholders or their merchandise.

  7. Stallholders selling food and drink must provide copies of their food hygiene certificate, risk assessment and public liability insurance.

  8. Electricity is not guaranteed with a stall and is at the discretion of the organiser and venue. Any electrical equipment allowed must be PAT tested, safe and wires taped down.

  9. The items available for sale at this event must align with the details provided in the application form. Stallholders are not permitted to introduce different items unless they have obtained explicit permission from the organiser.

  10. Stallholders are required to arrive no later than one hour before the event commences, or else they risk forfeiting their stall.

  11. Stallholders are strictly prohibited from packing up or getting ready to depart before the scheduled closing time of the event. Those who attempt to leave prematurely or violate health and safety guidelines by relocating stock and fixtures before the designated pack-up time will be disqualified from future participation. Utilising loading exits before the event's closing time is not allowed, and individuals engaging in such actions may be reported for jeopardising customer safety. Any violation may result in prosecution for endangering the public and fellow traders.

  12. To prioritise health and safety, it is essential to maintain clear walkways and fire exits throughout the event. If your pitch does not provide sufficient space for walkways, stock, and fittings, they may be removed to ensure unobstructed passages.

  13. Pitch spaces must be returned to their original condition. All waste and rubbish must be properly disposed of in bins and should not be left on the floor.

  14. It is the stallholders' responsibility to ensure they have all the relevant information/stall holder guide about the day.

  15. No one is to enter the building before the specified set up time. No stallholders should remain after the exit time.

  16. Stallholders arriving early or departing late and incurring additional hire fees will be invoiced for these charges.

  17. Stallholders must exercise caution to avoid damaging venues during loading or setup, including refraining from affixing anything to the walls. Any damages incurred will be charged to the individuals responsible.

  18. Stallholders must not set up without being shown their allocated space.

  19. All floor plans are subject to change at the request of the organiser. Anyone who does not cooperate with changes may be asked to leave the event without refund.

  20. Matcha Events will not be held liable for any delays or failure to deliver services due to circumstances beyond reasonable control. This includes, but is not limited to, acts of God, legislation, injury, terrorism, war, fire, power supply failure, adverse weather conditions, lockouts, or strikes.

  21. Food distributors participating in our events must commit to prominently displaying allergy information and guiding customers based on allergies and ingredients. Failure to adequately provide this information makes you accountable for any resulting effects or reactions, and you may be held liable. Matcha Events bears no responsibility for inadequate labelling of products or the production and distribution of these items.

  22. You agree to share professional photos of your work/ items that you sell in order to help us promote the event.

  23. There will be photos taken on the day of the event which may be used for promotional purposes.
     

Matcha Events Refund Policy

  1. All bookings are final. The stall fee is non refundable and cannot be transferred to other events. Please see our cancellation policy for full details.

  2. Should a venue cancellation occur, you will receive a refund.

  3. Stallholders who do not attend events without prior notice will not be eligible to participate in future events, and no refunds will be issued.

 

Matcha Events Cancellation Policy

If a stall holder needs to cancel, it is imperative to notify the organiser. Stall bookings are considered final and non-refundable. However, if a stall booking is cancelled with reasonable notice, the organiser will make efforts to secure a new stall holder to take over the pitch and recover the funds. Refunds or credits, in such cases, are at the organiser's discretion, and they reserve the right to deduct associated costs and administrative fees. Unsettled invoices may be forwarded to a collection agency. A comprehensive record of all stall cancellations and no-shows is maintained, and no-show incidents may impact future applications.
